Facilities Specialist (File Scanner) – Temporary (20 Hours)

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Pick up and deliver mail promptly
  • Scan mail into proper folders as required
  • Log incoming checks into Smart Sheet
  • Maintain all incoming in file drawers for 60 days
  • Remove mail from retention file after 60 days and place in the shred box
  • Ensure recipients are notified of package arrivals
  • Place postage on outgoing mail and take to post office daily
  • Act as Courier providing transportation to the bank to deliver items needed
  • Responsible for oversight of bank vehicles
  • Monitor pool cars usage and provide a quarterly vehicle assessment to ensure safety
  • Make sure registrations are in place and renewed timely
  • Ensure the cars are clean and properly represent the Bank
  • Ensure the CEO of BOS vehicles registration is renewed timely (December)
  • Any additional items that are requested by the CEO
  • Other duties as assigned

 

REQUIRED KNOWLEDGE SKILL AND ABILITY:

  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Ability to perform repetitive work
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to prioritize tasks
  • Ability to function well in a high-paced environment
  • Proficient with Microsoft Office Suite or related software

 

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent
  • 1-2 years of related experience preferred

 

LANGUAGE SKILLS

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and policy and procedure manuals. Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of the organization.

  • While performing the duties of this job, the employee is frequently required to sit and use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, and reach with hands and arms.  Specific vision abilities required by this job include close vision and the ability to adjust focus. Ability to lift up to 50lbs
